Development and management of travel incentive programs, sales meetings and/or trade shows to include destination search, budget, proposal, contract preparation and negotiation (client and vendor), site inspections, program planning, on site operations, accounting and final billing. Account Director is expected to self-manage responsibilities and tasks with little supervision and may work in a team capacity with another Lead Account Director.

Responsibilities in Operations Department include, but not limited to:
Budget Management (includes destination research, buy-in pricing and optional tour pricing), Proposal and Contract (review and administer all vendor and client contracts) preparation.
Create program themes that enhance brand awareness and develop marketing strategies for clients
Organize and travel with client on site inspections (if needed) to go over all details of the program
Plan all components of incentive programs, sales meetings, and trade shows. Coordinate client requests with the hotel, ground services and air making sure that all client requests are fulfilled. Coordinate program details in program specifications for client, vendors and travel staff.
Budget management throughout planning and operation of program
Gather information and assist in Marketing Campaign and all collateral material before it goes to print
Supervise and meet with in-house and on-site team having first-hand knowledge of all aspects of the program including air, creative, IT, distribution, and accounting to make sure all deadlines are being met and program is on schedule.
Correspond with Client, Hotel, DMC, and other Vendors
Manage program Administration Website to its fullest potential
Build & maintain participant registration, room block & rooming list via web-based database
Assist Creative Team to design client logo packaging to include all program collateral material
Handle participant inquiries and registration support
Coordinate with air team on participant requests, changes, and extension requests and complete change forms as required
Oversee mailing of program travel documents
Arrange required gateway Meet & Greet assistance as needed
Preparation and shipping of Travel Director program manuals and uniforms
On-site operation of the program taking the lead responsibility with client, vendors and travel staff
Program Final Bill preparation
Take on Sales role for future programs with in-house clients

Work Environment
Standard office hours are 8:45 a.m. – 5:15 p.m., Monday through Friday
Must be available to work extended hours before and after published business hours as needed
Noise level is usually moderate
Office space consists of shared offices or cubicles
On site requires long days and many hours on your feet
Travel required

Qualifications
Demonstrate a high degree of competency with computer knowledge & data base management skills (Microsoft Power Point, Word, Excel, MAC, Adobe Photoshop/Gimp)
Excellent written and oral communication skills.
Experience in developing and designing incentive or reward themes that have increased brand awareness and maximized customer loyalty, or related experience
Strong attention to detail & organizational skills
Ability to multi-task & meet deadlines
Able to tolerate & function in a self-motivated, fast-paced environment
Have a positive, enthusiastic and proactive approach to work
Present a well-groomed & professional appearance
Meet and correspond with clients and vendors as needed and display a positive & professional manner. This includes face-to-face meetings, telephone calls, e-mail messages, etc.
High energy and creative mindset to develop innovative campaigns and interpret client objectives to provide creative solutions and ideas.
Maintain a calm, respectful attitude with difficult or disgruntled people
Solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
Be able to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages and volume
Fluent in English is required, and in Spanish is a bonus
