Job Description:/h3:

This position reports to the General Counsel of the company. The Compliance Department is designed to promote adherence to all applicable federal, state, and local laws, regulations, standards and internal policies and protocols for a vocational/trade school.

Specifically, file appropriate compliance reports with regulatory agencies including, without limitation, TWC and TVC and ensure all student documents are filed properly and in uniform, assuring 100 accuracy when complete. Provide employee training on compliance related topics, policies or procedures as well as keep informed regarding pending industry changes, trends and best practices, and assess the potential impact of these changes on organizational processes. Conduct periodic internal reviews or audits to ensure that compliance procedures are followed. Disseminate written policies and procedures, and design or implement improvements in communication, monitoring and/or enforcement of compliance standards. Verify that all regulatory policies and procedures have been documented, implemented and communicated as well as review or modify policies and/or operating guidelines to comply with changes to regulations and/or standards affecting the school. Assess compliance or operational risks and develop risk management strategies along with conducting periodical internal reviews or audits to ensure that compliance procedures are followed. Discuss emerging compliance issues with the General Counsel including but not limited to recent state and federal litigation against trades and/or vocational schools.

Assist in any background verifications whether they need to be inputted into the system or following up with students to speak to legal counsel for help with clearing issues that may arise. Review all documentation of compliance activities, such as complaints received or investigation outcomes and consult with the General Counsel as necessary to address difficult legal compliance issues. Collaborate with human resources departments to ensure the implementation of consistent disciplinary action strategies in cases of compliance standard violations. Review advertising and marketing materials to ensure there are no violations of standards or regulations including, without limitation, copy rights and trademarks.

Perform and calculate refunds to students who are terminated or withdraw per TWC and TVC rules as well as maintaining thorough records of monies sent. Keep record of students that cancel prior to class and ensure the proper means are followed in order for the Department of Veteran Affairs to receive prompt refunds of any monies paid to the school. Ensure all student documents are filed properly and in uniform, assuring 100 accuracy when complete. Review student attendance records and train instructors to maintain accuracy. Create online documents for potential students to sign for enrollment, ensuring compliance by training admissions counselors on proper use of the documents.

Request and manage official transcripts from potential students secondary or post:secondary schools as well as Joint Service Transcripts if applicable. Likewise, if needed research how to order certain secondary/GEDs, post:secondary transcripts if they are not easily found on usual websites for ordering. Purchase all transcripts and fill out appropriate forms to have students sign in order to complete the process of ordering the transcripts. Once transcripts are received, input the data into schools system, Orbund, notate the dates ordered and received and file in students folder accordingly. Facilitate any transcript request that come in from former students that need their Retail Ready transcript for other schooling that are requesting documentation and send to appropriate location.
