DEPARTMENT: Business Affairs

JOB OBJECTIVE: This position has direct oversight of all planning, execution and strategic aspects of the Auxiliary Services, Campus Safety and Security, Risk Management, vehicle fleet management program, university mail and printing, parking and key control. This position is a key member of the Business Affairs leadership team.

SUPERVISION RECEIVED FROM: Vice:President of Business Affairs

SUPERVISION GIVEN TO: Two Direct Reports in Retails Servicers, Campus Safety Officer and Security contracting company.

EDUCATION/EXPERTISE: Bachelors Degree and A minimum of five (5) years of experience in a hierarchy of business operations and services, including the development and management of operating and capital budgets. Excellent written and verbal communication skills; and proficiency with MS Office and Excel. Knowledge of Campus Safety Program is a plus.

ESSENTIAL JOB FUNCTIONS: This position will engage in all aspects of the following, including, but not limited to:

Auxiliary Services
Oversight of Bookstore, Share Products, Sage/Dining Services, Vending, Print Copy Mail Center, including:
Provide strategic leadership, effective management and professional support of Auxiliary Services staff and development
Assessment of products and services in all areas above
Seek ways to increase retail and wholesale revenue and profit margins
Develop, improve and maintain operational procedures and policies
Develop, improve, negotiate and manage all vendor contracts and solicitations
Improve and maintain an accurate inventory in the Bookstore and Warehouse
Oversight of revenue generating operating budgets and financial performance reporting.
Responsible for the table replacement program, including sales of used equipment
Assist Café with dining options to the University community and profitability of Dining Services
Assist with strategic marketing of product sales
Assist with CS Gold and GoPrint revenue and policies.
Assist with equipment and fee packaging to students and external sources.
Assist with developing increased online portal sales updating and maintaining a fresh content on the retail products website for potential revenue.
Develop and improve Print Copy Mail services to the University community and external revenue opportunities.

Oversight of the Security outsourcing company and budget, including : : :
Assist with coordination of training of Emergency Preparedness Plan procedures
Ensure Clery Act is updated and in Federal compliance
Communications to the University community on all matters regarding buildings and campus grounds
Assist with strategic leadership and effective management of Campus Emergency Preparedness Program.

Campus Safety and Risk Management
Responsible for all risk management prevention, claims and annual renewals
Oversight of the Campus Safety Program
Oversight of Fleet Management Services
Oversight of Campus Key Control
Oversight of Campus Parking Management

ADDITIONAL JOB RESPONSIBILITIES: (Including, but are not limited to)

1) Maintain fiduciary and budget responsibility
2) Develop and encourage staff and contractors to provide excellent service, implement best practices and be adaptable to change
3) Implement process improvements to unburden buyers and approvers, shift from transaction work to value:added work and reduce cost
4) Ensure accurate and timely processing of all reports
5) Ensure that all department employees and contractors comprehend and adhere to all University policies and procedures
6) Ensure that all capital expense items for purchase have prior approval by the VP of Business Affairs and Board of Trustees
7) Oversight of all purchasing documents and contracts
