We are now hiring an Office Assistant with a strong Administrative, Telemarketing and Data Entry background. This position will have office administration, cold and warm calling, data
entry/verification, and project coordination responsibilities. Our perfect candidate is self driven, motivated, excellent people skills, detail oriented, and wants to move up in a company and grow their career. Relevant past experience includes Data Entry, Telemarketing, Quickbooks (accounting software), general office work, insurance, and other office administrative tasks.

JOB DESCRIPTION
Were looking for an organized, proactive and detail:oriented Office Assistant to help us manage the core daily operations, database data entry, project coordination, and accounting of our business. In this role, youll be responsible for coordinating all office tasks, communicating with clients, vendors, insurance companies, and loan companies over phone/email/text, billing and collections, assisting with coordinating HR and payroll, ensuring we are meeting license requirements, and more.
Responsibilities:
:Communicating with clients, vendors, suppliers, subcontractors, insurance companies, loan companies, project managers, etc.
:Reviewing Projects for the DFW Office. Ensure that all projects have all required documentation and our filed properly within our CRM (Salesforce) and cloud storage.
:Keeping track of all project leads and ensuring project managers are following up on leads and projects in a timely fashion.
:Assisting our Production Manager and Office Manager on a daily basis.
:Accounting Assistance (e.g. job cost tracking, commission tracking, budgeting, monthly spending reports, etc)
:HR and payroll. Help with new employee onboarding.
:Collecting on Project Receivables (Collections :: calling, emailing, etc).
:Assist with Accounts Payables. Including ensuring all payables are legitimate.
:Negotiating the best deals on utilities, cell phone, insurance, office supplies and payables.
:Management of
Vendors/Subcontractors (Tracking their Certificates of Insurance and Workers Comp, Creating/Reviewing Subcontracts to ensure accuracy and completeness, Background Checking)
:Job Costing (management of Purchase Orders, Fulfilling Check Requests, tracking Receipts, Vendor Costs to Projects, Creating and Reviewing Expense Reports)
:General
Clerical/Administrative Assistance (Answering Calls, Scheduling, Check Mail, Filing, Typing, handle building maintenance issues)
:Creation and Final review of all project closeout documents (job costing, warranties, invoices, etc).
:Ensuring all contact and project information is in our CRM (Salesforce) for all contacts and projects. All data must be filled in prior to a project being changed to completed status.
:Continued education: Xactimate, HAAG, Quickbooks, reading professional publications, etc.
Requirements/Skills:
:Telemarketing and people skills
:Self Motivated, Creative, Energetic, Friendly, Driven and Confident with ability to multi:task
:Excellent Data Entry and Computer Skills (Salesforce, Microsoft Office, Database Input, Dropbox, etc.)
:Great telemarketing ability
:Knowledge of office
equipment/technology and various software packages to improve office efficiency
:Knowledge of construction, project coordination, xactimate, insurance claims are all required.
We are located in Farmers Branch, TX. Applicants must be within a 30 minute commute to our office (14382 Proton Rd, Farmers Branch, TX)
Additional Information:
Full Time / Salary with Benefits. Starts with a 90 Day Training/Trial Period at 40 hours/week. Starting pay is 2
