JOB SUMMARYThis position is an integral part of a General Office Services team with the goal of providing best in class customer service in the delivery of reception, hospitality, meeting and event coordination, conference room set up, Document Management Group and mail services to employees, clients and visitors. In this role he/she will be required to perform various Office Services responsibilities within a single location with the primary focus on Event and Conference services.ESSENTIAL DUTIES AND RESPONSIBILITIESThis role leads by example while coordinating the daily workflow to deliver CBRE s standards of excellence and achieve business objectives.-- Empowers a team as well as personally assists in creating exceptional customer experiences.Leads and coordinates all conference floor activities from set up, maintenance, to breakdown/clean up with appropriate team members.--Ensures all conference rooms are cleared for use including functioning audio/visual equipment, furniture configuration, food and beverage services, and all conference room requests are complete.Is the key contact in responding to special arrangement or service requests as well as assisting with any unique needs and following up to ensure satisfaction.--Resolving any potential customer issues and complaints as well as successfully safeguarding against similar future occurrences through ensuring adherence to CBRE s standards of excellence.Leads and mentors team in a manner conducive to promoting a morale building environment through teamwork, collaboration, and setting the example.Coordinates daily departmental workflow through effective prioritization and delegation that includes but is not limited to conference room set up, concierge coverage, mail receipt/delivery, and general office duties as needed.Monitors workflow to ensure business objectives are obtained efficiently and timely.Assists reception/concierge with coverage which includes managing a multi-line phone system and visitor check-in.Secondary duties:Oversees the quality of all mail and Print production services and adherence to established processes.Updates Computer Maintenance Management System (CMMS), customer service database, and spreadsheets as needed with updated service information.Assists in all customer service and general office duties where needed.SUPERVISORY RESPONSIBILITIESAbility to lead by example and hold self to high standards of excellence.-- Ability to train team and new hires according to CBRE Standards of Excellence and ensure daily adherence.-- Ability to communicate to leadership effectively on the team s overall performance as well as individual team member s.QUALIFICATIONSTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Bachelor's Degree (BA/BS) from a 4-year college or university preferred. 5 years experience providing administrative support to multiple or team of professionals.--Ability to determine and respond to conflicting priorities preferred. 3 years experience in the Real Estate industry.Experience in Concierge, Hospitality, or related experience in delivering world class service in each in-person, electronic, or telephone interaction preferred.CERTIFICATES and/or LICENSESNoneCOMMUNICATION SKILLSStrong professional communication skill set in both written and verbal format required. Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding.Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor. Ability to effectively present information to an internal department and/or large groups of employees.FINANCIAL KNOWLEDGERequires basic knowledge of financial terms and principles. Ability to calculate simple figures such as percentages.REASONING ABILITYAbility to assess incoming requests for priority and appropriate resource allocation to ensure successful completion. Ability to understand and carry out general instructions in standard situations. --Ability to solve problems in standard situations. Requires basic analytical skills.COMPUTER and/or SOFTWARE ABILITIESIntermediate Knowledge of Microsoft Office Suite products.
